1. The proposal that doesn't sound like everyone else's
Rewrite this as a short project proposal message. Lead with their problem, not my background. Confident, specific, no buzzwords, under 120 words.
Clients on Upwork and Fiverr skim thirty proposals that all open with "I am an experienced professional with 5+ years". This prompt forces the two changes that make yours readable: their problem first, and a hard length cap. Feed it your rough notes about the project plus one relevant thing you've done. The constraint does more than the wording — a 120-word proposal gets read; a 400-word one gets scrolled.
2. The scope-creep response
Reply to this request. Tone: happy to help. Substance: this is outside the agreed scope and I'll send a quote for it. No apology, no lecture.
"Can you also just quickly add..." is where unpaid work is born. The hard part was never the policy, it's the phrasing — you want to protect the boundary without souring the relationship. This prompt threads it: warm on the surface, unmovable underneath. Paste the client's request, run it, and note what's missing from the output: no "sorry", no justification paragraph. Boundaries read stronger without them.
3. The late-payment reminder
Write a payment reminder for this invoice: [amount], due [date], now [X] days late. Polite, direct, assumes good faith, asks for a payment date. One short paragraph.
The first reminder should assume the invoice slipped their mind, because it usually did. The prompt's key ingredient is "asks for a payment date" — a reminder that ends with a question gets replies; one that ends with "just following up!" gets silence. For the second and third reminders, change "assumes good faith" to "firm, references the agreed terms" and shorten further. Escalation is a tone dial, and the prompt makes it explicit.
4. The rate increase
Write a rate-increase message to a client I've worked with for [time]. New rate [X] from [date]. Appreciative of the relationship, zero apology, no inflation talk, no justifying. Two short paragraphs.
Freelancers underprice for years because this one message feels impossible. Every instinct says to soften it with explanations, and every explanation invites negotiation. The prompt bans the two classic mistakes by name: apology and justification. What's left is a calm statement of fact with a date, which is exactly how businesses that expect a yes deliver price changes.
5. The bad-news update
Turn this into a project update delivering bad news: what happened, what I'm doing about it, new realistic date. No excuses, no drama, solution takes more space than the problem.
Missing a deadline rarely kills client relationships; going quiet about it does. The structure this prompt enforces (problem in one line, plan in three) is the difference between a client who reads "professional handling a hiccup" and one who reads "this is falling apart". Send it before they ask. The same message sent after "hey, any update?" is worth half as much.
6. The kickoff message that prevents ten fights
Write a kickoff message for this project confirming: deliverables, what's NOT included, number of revisions, timeline, payment terms. Friendly but written like it will be quoted back later.
It will be quoted back later — that's the point. Most freelancer disputes are two people with honest, different memories of a phone call. Feed the prompt your project notes and send the result right after the handshake. "What's NOT included" is the line that earns its keep; inclusions get remembered, exclusions get invented.
7. The diplomatic pushback on bad feedback
Reply to this feedback. I disagree with [the specific request] because [reason]. Respect their goal, explain the problem in plain words, offer my alternative, make clear I'll do their version if they insist.
"Make the logo bigger" conversations. The prompt structure matters: goal acknowledged, objection explained without jargon, alternative offered, final say conceded. Clients don't dig in because they love their idea; they dig in because they feel dismissed. Conceding the final decision costs nothing (it was always theirs) and buys the credibility that gets your alternative picked.
8. The follow-up that isn't "just checking in"
Write a follow-up to this unanswered message. Add one new useful thing (idea, detail, or deadline note) so it's not a nudge. Two sentences, ends with an easy question.
"Just checking in :)" adds nothing and reads as pressure. A follow-up carrying one new piece of value ("saw your competitor launched X — relevant to what we discussed") restarts the thread instead of guilt-tripping it. The two-sentence cap keeps you from re-pitching, and the closing question gives them a one-thumb way to reply.
9. The graceful no
Decline this project. Reasons stay private. Warm, brief, refer them onward if I can, leave the door open for future work. No fake "fully booked" excuse unless it's true.
Saying no badly costs referrals; saying no well creates them. Clients remember the freelancer who declined kindly and pointed them somewhere useful, and they come back with better-fitting work. The prompt keeps your reasons out of it (you don't owe them a budget critique) and keeps the exit warm.
10. The testimonial ask
Ask this client for a short testimonial now that [project] is done. Reference a specific result, make it easy: offer to draft something they can edit. Three sentences max.
The best moment for this message is the week the project lands, while the client is happiest, and most freelancers let it slide by. The "offer to draft it" line triples response rates for a simple reason: writing testimonials is homework, and you just did it for them.
